Terms & Conditions

These Terms & Conditions (“Terms”) govern the earning and redemption of Silver Rewards points and benefits in connection with qualifying group bookings, meetings, and events at participating Silver Cloud Hotels (“Participating Hotels”). By booking or hosting a qualifying group or event, the booking organizer (“Planner”) agrees to these Terms and the Silver Rewards Program Terms & Conditions.

1. Definitions

  • Silver Rewards: The Silver Cloud Hotels loyalty program.
  • Planner: The individual booking and/or contracting the group/event and designated to receive rewards.
  • Qualifying Group/Event (“Qualifying Event”): A group room block of ten (10) or more guest rooms and/or event contracted under a signed agreement with Silver Cloud Hotels that satisfies all eligibility requirements and minimum thresholds (including any required room nights and/or minimum event spend), and that is consumed and paid in full.
  • Eligible Charges: Qualifying revenue posted to the master or individual guest accounts and paid in full, excluding non-eligible charges.
  • Master Account: The group/event billing account established under the signed contract.

2. Eligibility

2.1 Membership Required

Planner must be an active Silver Rewards member at the time of contracting and at the time the Qualifying Event is held.

2.2 One Planner Per Contract

Rewards are issued to one (1) Planner per contract unless Silver Cloud Hotels approves otherwise in writing.

2.3 Participating Hotels Only

Group & Event Planner Rewards are offered only at Participating Hotels and may vary by property, season, rate plan, event type, and availability.

2.4 Ineligible Bookings

Events booked through certain third-party channels, wholesale, opaque pricing, or non-qualifying arrangements may be excluded.


3. Qualifying Criteria

A group/event qualifies only if all the following apply:

  • A signed group or event agreement is executed.
  • The event occurs within the contracted dates.
  • The Planner’s Silver Rewards number is included on the contract prior to the event date.
  • All Eligible Charges are posted and the master and individual accounts are paid in full.
  • The booking is in good standing with no disputes, chargebacks, reversals, or unpaid balances.

Silver Cloud Hotels reserves the right to determine whether a booking qualifies as a Qualifying Event.


4. Earning Rewards (Planner)

4.1 Earning Rate

Planner earns 2 Silver Rewards points per $10 USD of Eligible Charges.

4.2 Eligible Charges Include (if billed to the Master Account)

  • Guest room revenue attributed to the group (room rate only, unless otherwise stated in writing).
  • Meeting room rental fees.
  • Catering and banquet food & beverage charges.
  • Hotel-managed audiovisual services.

4.3 Non-Eligible Charges (Do Not Earn Points)

  • Taxes, gratuities, service charges, and mandatory fees.
  • Third-party vendor services not billed through the hotel.
  • Parking and guest incidentals.
  • Cancellation, attrition, no-show, or penalty fees.
  • Refunds, rebates, comps, discounts, disputed or reversed charges.

4.4 Earned on Paid Amounts Only

Points are earned only on amounts actually paid and retained by Silver Cloud Hotels. If charges are reduced, refunded, disputed, or reversed, reward points may be adjusted, revoked, or reversed.


5. Attendee / Guest Earning

5.1 Individual Stay Earnings

Guests staying under the group booking may earn Silver Rewards points and eligible stay credit on qualifying charges paid directly by the guest to the hotel (subject to Silver Rewards program terms).

5.2 Attendee Responsibility

Attendees must provide their Silver Rewards number at check-in to receive individual credit.


6. Posting Timeline & Final Determination

6.1 Posting Timeline

Rewards are generally credited within 4–6 weeks after the Qualifying Event concludes and full payment is received.

6.2 Estimates & Reconciliation

Any estimates or projections of rewards (including quotes or calculators) are not guaranteed. Rewards are awarded only after final reconciliation of consumed and paid Eligible Charges.

6.3 Hotel Discretion

Silver Cloud Hotels has sole discretion to determine eligibility, Eligible Charges, and final reward totals.


7. Promotions, Bonus Offers & Stacking

7.1 Bonus Offers

Promotional bonus rewards may be offered from time to time and may require registration, booking during a specific window, or meeting additional criteria.

7.2 Combination Rules

Group & Event Planner Rewards may not be combined with certain promotions, rebates, negotiated incentives, contracted concessions, commissionable, or third-party planner programs unless expressly stated in writing by Silver Cloud Hotels.

7.3 Most Restrictive Applies

If multiple offers apply, Silver Cloud Hotels may apply the most restrictive interpretation unless otherwise required by law.


8. Restrictions & Limitations

8.1 Non-Transferable

Planner rewards are non-transferable and may not be sold, traded, assigned, or bartered.

8.2 No Cash Value

Points and rewards have no direct cash value and cannot be redeemed for cash except as outlined in the Silver Rewards program.

8.3 Compliance With Employer/Client Policies

Planner is responsible for compliance with any employer, client, agency, or professional policies. Silver Cloud Hotels assumes no liability for violations.

8.4 Participation May Vary

Participating Hotels, eligible revenue types, minimum thresholds, and earning rules may vary by property and may change over time.


9. Cancellations, Changes & Attrition

9.1 Contract Modifications

If a booking is cancelled, shortened, reduced, or materially changed, reward eligibility may be reduced or eliminated.

9.2 No Rewards on Penalties

Cancellation, attrition, no-show fees, and penalties do not earn rewards.

9.3 Final Consumption Controls

Rewards are calculated based on the final consumed and paid Eligible Charges, not the original contracted estimate.


10. Fraud, Misuse & Violations

Silver Cloud Hotels reserves the right to withhold, revoke, or adjust rewards for suspected fraud, abuse, manipulation, or violations of these Terms or the Silver Rewards Program Terms, including but not limited to:

  • Duplicate reward claims.
  • Falsified documentation.
  • Unauthorized transfers or resale.
  • Misuse of membership accounts.

11. Privacy & Communications

Planner information will be handled in accordance with Silver Cloud Hotels’ privacy practices and may be used to administer rewards, verify eligibility, and provide program communications.


12. Program Changes or Termination

Silver Cloud Hotels may modify, suspend, or terminate Group & Event Planner Rewards, including these Terms, at any time to the extent permitted by law. Changes may apply to future events and/or existing contracts unless prohibited by the signed agreement or applicable law.


13. Disputes & Claims

13.1 Dispute Window

Reward-related disputes must be submitted in writing within 90 days after the event end date.

13.2 Final Decision

Silver Cloud Hotels’ decision regarding eligibility and reward issuance is final, subject to applicable law.
